Title Vice President of Enrollment Management
Job Information

Summary:  The Vice President of Enrollment Management is responsible for all aspects of Allen University’s enrollment process including the planning, implementation, and evaluation of effective student-centered, strategic recruitment and selection.  The Vice President’s primary outcomes are long-term strategic enrollment growth of qualified students; effective data analysis to make decisions supporting marketing, recruitment, and admissions strategy; achievement of enrollment goals and implementation of strategies to achieve enrollment objectives; and the development of productive partnerships with internal college-wide departments and external influences (parents, counselors, teachers, etc.).

Work Schedule This is a full-time position working Monday through Friday, 8:00 am to 5:00 pm, with occasional evening and weekend hours as deemed necessary.

Qualifications:  A Master’s Degree and seven (7) years of progressively responsible related work experience is required.  Preferred requirements include experience in marketing and enrollment management systems as well as

public relations, media communications and student development.

Essential Functions:

  • Identifies plans and evaluate the effectiveness of advertisements, direct mail promotion, screeners, bulletins, brochures and other collateral materials.
  • Develops and implements data-driven, market-sensitive, goal-oriented strategic recruitment plan to reach targeted audiences.
  • Serving as a communications liaison between academic program departments and Enrollment management regarding enrollment mattersServing as a communications liaison between academic program departments and Enrollment management regarding enrollment mattersServing as a communications liaison between academic program departments and Enrollment management regarding enrollment mattersDesign and implement a College Marketing and Recruitment Plan and develop a comprehensive follow-up system to ensure quality assistance to students moving through the College’s Intake system.  Ensure the availability of recruiting materials and the effective operation of the College’s prospective student tracking system and its communication modules.
  • Formulates long-range strategic application/admission/enrollment policies that will support an open enrollment management process.
  • Compile and analyze application and enrollment trends and make recommendations for strategic intervention to enhance the enrollment of prospective students and retain existing students.  Application and enrollment trends are regularly submitted to the President for review and action
  • Works closely with the Director of Financial Aid, Admissions and Academic Affairs Administrators.
  • Lead the development of policies and procedures for assuring the integrity of student records, management of student application and matriculation, compliance with all state and federal laws, rules, and regulations related to enrollment management and student development
  • Travel as needed, as well as weekend and evening requirements.
  • Oversees enrollment management budgets.
  • Works with the Vice President of Student Affairs and the admissions staff to develop and implement enrollment models, track and project admissions, develop student profile reports that indicate predictors of enrollment success.

Title Resident Hall Associate
Location Male & Female Resident Halls
Job Information

SUMMARY:  Under general supervision, ensures student safety and the availability of student programs and residential living. This is a live-in position.

ESSENTIAL FUNCTIONS:

  • Upholds an active, responsive presence within the building to ensure that University policies and procedures are followed. 
  • Creates and maintains a safe living environment by ensuring that the building is clean, comfortable, safe, reasonably quiet, and orderly.
  • Manages records of facility maintenance.
  • Participate in a rotating duty schedule, providing on-call/on-duty emergency and crisis response for students.
  • Facilitate conflict resolution issues, assist students struggling with mental health and personal issues and refer students to appropriate University and community resources.
  • Develops relationships with students and assist students in acquiring and refining life skills through counseling, referrals and special programs to stimulate intellectual interests.
  • Addresses student behavioral issues that do not necessitate judicial review with fair disciplinary actions as well as recording and maintaining records of disciplinary issues for judicial review.
  • Supervises Resident Assistants and work study students as an appropriate role model. 
  • Encourages leadership development, responsible citizenship, activism, and volunteerism.
  • Trains new Resident Assistants.
  • Live-in position at residence hall.
  • Performs other duties as assigned.

Title Webmaster
Job Information

Summary:   Work closely with the Information Technology and the Office of Marketing & Development to implement and coordinate web pages, maintains content and oversees day to day management of the university’s website. Assure quality, design consistency and filing integrity of web pages.

Qualifications:   An associate or technical degree in a related discipline from an accredited college or university or an equivalent combination of education and experience with proficiency in WordPress and HTML language. A  Bachelors degree is preferred.

Essential Functions:

Technology Components:

  • Maintain existing content for University websites
  • Work directly with the content teams to implement new features
  • Develop new WordPress features and plug-ins
  • Troubleshoot PHP and WordPress issues
  • Assist with Front End development (XHTML, CSS, and JavaScript)
  • Implement upgrades to the WordPress core and related plug-ins
  • Develop interactive Front End features using XHTML, CSS, JQuery and Ajax
  • Keep abreast of WordPress enhancements and updates and make recommendations on how they can be used to improve the site
  • Strong WordPress skills and experience extending WordPress as a CMS
  • Understanding of WordPress custom content types and taxonomies; and when to use them
  • Solid mid to advanced-level ability in PHP5 Website development and optimization
  • Ability to work with and edit basic Web user interfaces in HTML and CSS without the aid of a WYSIWYG Editor
  • Experience with basic Apache features (vhosts, and htaccess rules)
  • Experience with JavaScript libraries (jQuery is preferred)
  • Experience with version control software
  • Other favorable areas of expertise: WordPress, Linux, Apache 2, PHP 5, MySQL, Search Engine Optimization, HTML (4 and 5), CSS (2 and 3), Javascript (Jquery)

Marketing & Communications:

  • Work closely with the AVP of Marketing and Development to set and ensure that online messaging meets department and institutional compliance and integrity
  • Maintain site information; providing “real time” reporting and relevant updates.
  • Circulate accurate information, detailing results and identifying benchmarks of web marketing and university outreach and make recommendations for possible improvements.
  • Advise Associate Vice P resident on the improvement, results and competition and a new direction in technology to assist with marketing of the brand
  • Support and maintain university social media marketing channels
  • Maximize online affiliate information for the university brand (with the possibility of widening affiliate on-site promotions)

  • Plans and coordinates class reunions and related alumni programs.
  • Produces/distributes quarterly alumni newsletter.
  • Develop and maintain a database of all former students and friends of Allen University.
  • Assist with the Alumni Association of Allen University in increasing its membership and fundraising.
  • Establish a telephone log of alumni and friends who will be willing to assist the university in recruiting students and identifying other alumni throughout the country.
  • Keep the alumni and friends of Allen informed of the various activities and events around the university.

Title Director of Library Services
Job Information

Summary:   Under general supervision, responsible for overall management of the Joseph Simeon Flipper Library, staff, resources, and services in compliance with the Southern Association of Colleges and Schools standards. This position oversees 6-8 employees.

Work Schedule: This is a full-time position working Monday through Friday, 8:00 am to 5:00 pm, with occasional evening and weekend hours as deemed necessary.

  • Qualifications:   Requires a Master’s degree in Library Science or Technology Research from an accredited college or university with a minimum of three (3) years of experience in Library Services at the Director or Collegiate level; or an equivalent combination of education and experience.  Strong technology skills are mandatory.

Essential Functions:

  • Develops, maintains, and updates goals and objectives pertinent to the needs of the academic programs served by the library
  • Trains, coaches and evaluates library staff
  • Communicates with faculty and staff as to the availability of services provided by the library, databases that assist with class curriculum; available workshops and the acquisition of new materials for each academic year
  • Monitors renewals of library memberships and database dues
  • Conducts regularly scheduled meetings with library staff to evaluate services, note concerns and make necessary modifications in staff assignments
  • Counsels employees regarding job performance
  • Monitors all Southern Association of Colleges and Schools standards for the library to maintain compliance
  • Serves on committees as designated by the Vice President of Academic Affairs and upper management
  • Teaches orientation classes in the absence of the Reference Librarian
  • Performs other duties as directed.
